EXECUTIVE ASSISTANT 

Location: Newton Pavilion - Department: Cardiothoracic Surgery

Hours: F/T (40 hrs), M-F D 8:00am-4:30pm

 


Position Open for Executive Assistant to Chief of Cardiothoracic Surgery

 

Seeking person to manage schedule and provide administrative support for Chief of
Cardiothoracic Surgery.  Will assist in multiple projects associated with Chief’s professional
and community related responsibilities.  Chief is currently President of Northeast Region of
the American Heart Association and Vice President of Massachusetts Chapter of the Society of
Thoracic Surgeons.  Chief serves on multiple professional committees and technological
advisory boards.

 

Person will perform extensive office services.  Will assist at least one day per week in
managing departmental phones.  Will also assist Administrative Director in selective areas of
departmental administration.   One of major responsibilities is to collect preliminary
information and communicate with collaborators on project status.  Will provide frequent
updates to Chief.   Will read correspondence and emails with goal of prioritizing work in
progress.

 

Will type diverse types of correspondence, text forms and reports, which may be complex in
nature from author diskettes, transcribing equipment or rough drafts.

 

Will maintain calendar for Chief including scheduling of appointments, complex meetings, phone
conferences and travel; maintains Chief of Cardiothoracic Surgery’s calendar on a non-conflict
basis.

 

 

QUALIFICATIONS AND ENTRANCE REQUIREMENTS:

Work requires level of knowledge normally acquired through the completion of an Associate’s
degree or specialized training in office services.

 

Work requires three to five years of experience in progressively more responsible positions in
office administration.
