Job Description:
Unique non-profit organization is looking for a well-rounded person to oversee the
administration management for their team. This is broken down into three components listed

Financial and Legal

·        Working closely with Budget Manager, oversee purchasing of furniture, equipment,
supplies and services. 

·        With Budget Manager, monitor programs to ensure that most cost-effective measures are
used (e.g. program logistics; interns vs. temporary employees)

·        With Director, manage processing of invoices and other commitments of funds, as
executed by the Budget Manager 

·        Oversee travel procedures and preferred buyer (frequent flyer and other) or
affiliation accounts

·        Oversee insurance coverage processes for all entities; meet with Accounting Manager
once/month to review Insurance Tracker

·        Review for Director’s approval all contracts prepared within the organizations

Human Resources

·        With Director, create, monitor and implement employment and personnel policies,
practices and guidelines

·        Oversee maintenance of personnel files for employees, part-time and temporary staff,
consultants, volunteers and interns

·        Ensure that payroll changes/additions are communicated to Accounting staff 

·        Coordinate and implement New Employee Orientation program: introduce new employees to
the Employment and Benefits policies of the organization; guide new employees through the
process of filling out personnel and payroll forms, schedule IT orientation, and work with all
office locations to orient the new hire to individual office systems

Administer, modify, and implement as appropriate the Employee Benefit program.  This includes:
monitoring employee records on an ongoing basis; enrolling and removing employees from health,
dental, long-term disability, and life insurance plan, vacation schedules; handling
resignations and letters of recommendation; checking monthly premium invoices against employee
files; updating staff on changes to benefits; serving as the liaison between the employee and
benefit program administrators, compliance issues, Workers’ Compensation claims, illnesses,
family leave, disability and unemployment insurance claims, etc.  
·        Monitor the COBRA benefits program as implemented by the Accounting Manager (employee
enrollment; tracking receivables and termination of coverage procedures; communicating with
insurance agent and former employees regarding their COBRA benefits) with quarterly meetings
to review spreadsheets

·        Manage and track termination of employment processes and periodic confirmation of
unemployment status 

Office Management

·        Oversee production of office procedures manual for staff members’ reference.

·        Supervise inventory of all office locations; oversee updating & tracking of equipment
inventory (purchase or lease information, serial number, warranty info, location, etc.)   

·        Strong HR/benefit administration background

  Experience in organizing, setting up, and managing small business or nonprofit organization
environments     extremely helpful
·        Exceptional organizational, interpersonal, and communication skills

·        Ability to prioritize and attend to multiple assignments

·        Strong writing skills, pleasant telephone manners, fastidious attention to detail

·        Cheerful attitude and solid judgment; discretion in employee-related matters

·        Fluency in Microsoft Office applications (Word, Access, Power Point, Excel); Lotus
Notes; Internet skills. Familiarity with NORTEL phone programming desired
