Works with and supports Sr. Manager Physician Recruitment to carry out cost effective
recruitment of all employed and occasionally Community physicians on behalf of Baystate Health
System (BHS). The primary focus of this position is to carry out plans developed by the
physician recruitment office to meet the goals established by the Health System leadership.
This position is responsible for performing a variety of clerical activities in support of the
Senior Manager, Physician Recruitment, and to coordinate all physician recruitment activities
necessary in order to support the efficient and effective operation of the physician
recruitment function. The coordinator acts as primary contact, both over the phone and in
person, representing the Office of Physician Recruitment to internal and external customers,
which include hiring managers and physician candidates. He/She is also responsible for
developing and maintaining office systems in order to ensure office access, organization and
appropriate follow-up. In support of the Senior Manager of Physician Recruitment, the
Coordinator provides administrative support such as: answering telephone, maintaining
calendar, mail, prepares reports, presentations or correspondence and performs other clerical
activities in support of the manager and office overall. The Coordinator also is responsible
for ensuring that the office function is well organized and designs appropriate filing systems
and on-line documents, templates, and other systems in collaboration with the BHS recruitment
office in order to ensure that work is done efficiently, accurately and on time. In support of
the Physician Recruitment Function, the Coordinator compiles and maintains databases and other
sources of information relating to recruitment efforts to include data entering all resumes
received and querying system for prospects as necessary. The Coordinator also prepares reports
for practice and clinical leadership, communicates information regarding opportunities to
potential candidates, responds to various requests from physician recruitment customers and
provides scheduling and employment processing support to the Physician Recruiter, Baystate
customers, candidates, and newly hired physicians.
Must have knowledge of medical community and have interest in marketing and public relations,
especially sales. Must also be familiar with or interested in learning about the hospital and
group practice environment and the services provided by BHS. Abilities: Solid interpersonal
skills, including verbal and written communication; comfort level in social situations;
flexibility; ability to work with a minimum of supervision but willing to accept guidance and
direction; ability to organize, prioritize, and conduct multiple tasks; ability to work well
with others; willingness to answer and conduct phone calls and have good phone skills.
Occasional travel may be required. Proficiency in Powerpoint, Access, Word, Outlook required.
