The Desktop Publishing Assistant is primarily responsible for using Microsoft Word, Quark,
InDesign, and PowerPoint to prepare materials for presentations and training solutions. These
materials include templates, participant workbooks, leaderís guides, PowerPoint presentations,
program materials (skill cards, handouts, charts) and marketing/client materials. The Desktop
Publishing Assistant is responsible for ensuring that all materials meet quality standards for
brand formatting and have been thoroughly edited and proofed. In addition, the Desktop
Publishing Assistant acts as a liaison with the printing vendor and deployment department to
ensure that correct materials and supplies are shipped to the client site. The Assistant most
often works as part of a project team under the direction of a Curriculum Designer or Project
Job Performance Standards:
∑ Works as part of a team to customize existing programs to meet specified client
needs (e.g., prepares working draft from existing modules, edits and proofs, does layout,
∑ Executes all aspects of specified layouts for program and leader materials, using
Microsoft Word, Quark, Illustrator, InDesign, and PowerPoint.
∑ Accurately proofs and edits own and othersí writing.
∑ Has working knowledge of standard programs and concepts (e.g., can find standard
modules on server, knows basic idea of key modules).
∑ Learns about program content and uses understanding to add value to editing,
formatting, layout, note taking, etc.
∑ Manages printer interface and ensures timely delivery of materials for printing.
∑ Participates in checklist meetings and ensures proper materials have been sent to
the printer for programs.
∑ Ensures that trainers have appropriate materials and are prepared prior to pilots or
when major programs occur (sends participant materials and overheads, schedules trainer prep
∑ Ensures complete and accurate information is included in scheduling system re:
products, version numbers, packing lists, material costs, etc.
∑ Plans and follows through on assigned phase of project implementation (i.e., ensures
timely completion of tasks, identifies and reaches out to required resources, manages printer
interface, assures completeness of materials and supplies, tracks time, and costs).
∑ Tracks time spent on specific projects.
∑ Interacts with other team members in a manner that supports getting the work done
∑ Makes decisions about use of own and othersí time and resources that maximize
revenue and profitability.
∑ Seeks to understand the business needs of internal and external clients in on-going
∑ Performs other related duties as assigned.

-- High proficiency in Microsoft Word (including Style Sheets), PowerPoint, Quark, InDesign,
and Adobe Acrobat is a must
