Advertising & Events Planner
Duties and Responsibilities:
Develops, prioritize, and implements tactical project plans, including customer promotion
programs and generic events, press events, trade show activities, and sales meetings.
Keeps company events calendar.
Negotiates contracts and maintains relationships with preferred marketing and advertising
Develops estimated cost models, submits proposed final budget, tracks budget statistics, and
prepares management reports. Provides post mortem data/report (ROI).
Assists in theme, demo, and exhibit space layout development for trade show events and
Makes space reservations for trade show booths, and coordinates shipping of booth materials,
booth setup & teardown, staffing, demos, and lead collection.
Initiates group air and hotel contracts for event staffer and attendees within budget using
Sets up sales meeting dates, venue, & focus coordination w/ supervisor and press event
schedules, organizes materials, reviews transportation itineraries, and books venues and
Assists in creation of internal and external promotional pieces.
Coordinates registration and payment procedures, promotional advertising and mailings, and
corporate sponsorship activities.
Organizes catering, room and communication equipment setup.
Manages on-site staffing and registration for events.
Keeps company wide by market all retail advertising and promotional calendars.
Tracks budgets, contracts and provides monthly feedback for all commitments.
Maintains a library and/or log of commercials both audio and video as well as tear sheets
from ROP and other.
Distributes commercials, ROP, and all other promotional materials to company as needed prior
to the events as directed.
Tracks company focus and themes, assures continuity and alignment with current needs. Make
certain all ads are delivered on time and as needed to sources.
Gathers, develops and maintain ROI logs for each event, ad and or campaign. Reports this
info as directed.
Manages relationships with advertising vendors and all promo event person.
Communicates changes, contract dates and status of each function, event or campaign to VP
Sales and others as directed.
Works with promo staff as directed to assure event, promo or campaign is successful.
Skills and Abilities:

Excellent Problem Solving Capabilities
Public speaking skills in front of groups of employees and/or customers
Travel up to 50% of the time.
Current Drivers License and insurance required.
Spreadsheet and word processing experience Education and/or Experience
Bachelor's degree (B. A.) from four-year College or university;
3 -5 years related experience and/or training; or equivalent combination of education and
